Crystal Database Logons

View and change the database logon information of many Crystal reports and publications at once, for example to point them to a new database server.

License and permission

Crystal Logon Info... needs the "Modify Crystal Logon Info" permission on the environment. See Permissions Reference. The CMS Explorer needs a license with the BusinessObjects client features (Editions and Licensing).

How it works

MMS reads the logon settings stored with each selected Crystal report or publication in the CMS and shows one row per logon. You change values in the grid; only changed cells are written back to the CMS when you save. The report files are not edited; the change is to the logon settings BusinessObjects uses when it runs the report.

Before you begin

  • Select the Crystal reports or publications in the CMS Explorer (you can select folders' contents with the selector next to the export button).
  • Know the new server, database and credentials.
  • Back up the reports first, for example with Save > Save as BIAR Backup....

Steps

  1. Right-click the selection and choose Modify > Crystal Logon Info.... Result: the client loads the logons ("Loading Crystal Logon Info...") and opens Modify Logon Info for Crystal Reports.
  2. Review the grid. Turn on Show table prefix properties to see the table prefix columns.
  3. To change one value, right-click the cell and choose Modify Value..., then enter the New Value:. Choose the scope:
    • Apply to all logons - every row in the grid.
    • Apply to all logons with same current value - only rows that have the same current value.
  4. To copy a value to the whole column, right-click a cell and choose Apply Value to All Logons.
  5. Turn on Show only changed logons to review your changes.
  6. Save the changes.

Result: MMS writes the changed logons to the CMS ("Modifying Values...") and the client shows the result per object.

TODO: confirm the label of the save button and whether passwords are shown masked in the grid

Source to check: a live client.

Verify

  • Reopen Crystal Logon Info... for the same reports and check the values.
  • Run one report in BI launch pad and confirm it reads from the new database.

Troubleshooting

No Logons

"No logons are found for selected reports" means the selection has no Crystal report or publication with stored logon information.
